Booking & Payments

On choosing Kyte Hotel for your wedding, we can provisionally hold your chosen date for up to 14 days. To confirm your booking you will be required to pay a non-refundable deposit of £500. This will secure your chosen date. By confirming your booking you will be accepting all of Kyte Hotel’s terms & conditions. Should the deposit not be paid within this time Kyte Hotel have the right to release the date without prior notice.

At least 6 months before your wedding date, an appointment must be made with Kyte Hotel’s wedding planner to discuss your menu choices, room layout and requirements etc.

Payment by credit card will be subject to a 2.5% surcharge.

The £500 deposit will not appear on the final invoice and will be kept as a security bond until after the function has taken place. This will be returned by cheque, less any cost for damages, following the event. The client will be responsible for any damage caused to the hotel by themselves, a subcontractor or their guests and shall pay for such damage or loss of business caused as a result. Kyte hotel reserves the right to make all judgements.

Bedrooms may be put on hold for your wedding however they will be released 2 months prior to the event if not confirmed by credit card.

All the prices are subject to change without notice up to 30 days prior to the event unless previously confirmed in writing.

Final numbers will be required 1 month prior to your wedding date and this is the number for which you will be charged. Your invoice will be issued and should be settled within 7 days. Any additions after this date will be payable immediately. Should you wish to make interim payments these will be recorded and taken from your final balance.

VAT at the current rate of 20% is included in the price. VAT may vary and will be charged accordingly at the time of payment.

You agree that any account outstanding from guests attending your wedding, however caused, remain your responsibility and you hereby agree to pay for such accounts, first from the security bond retained by the hotel and secondly by your own payment should such accounts extend beyond the security bond.
Catering

Catering selections are to be made from Kyte Hotel’s Wedding Menus and Wedding buffet menus.

Final numbers, complete menu choices and seating plans must be received no later than 1 month prior to the wedding date.

The hotel cannot be held responsible for the quality of food if not served at the scheduled time due to late arrival of guests, however we will always do our utmost to serve the food at the highest quality possible.

Buffets will be left on display for a maximum of 2 hours.
Guest Behaviour

The hotel reserves the right to judge acceptable levels of noise and/or behaviour of the clients, guests or representatives and the client must take all necessary steps to correct. The hotel reserves the right to terminate the contract, stop the event and/or judge any necessary action without being liable for any refund or compensation.

At the absolute discretion of the hotel any event may be cancelled by the hotel (even if paid in full) if the hotel has reasonable grounds for believing that holding of such a function would prejudice the reputation, good name or standing of the hotel.

No food or drink may be brought into the hotel or grounds by the client or guests for consumption on the premises, unless prior agreement in writing by the hotel management. A charge to recoup the loss of revenue will be made by the hotel should this happen.
Cancellation Policy

If a client cancels a reservation less than 12 months in advance, the hotel reserves the right to claim the following sums, unless a booking is obtained for the same date from a third party on no less favourable terms.
Cancellations in advance between:
6 and 12 months – 20% of the total anticipated charges
3 and 6 months – 50% of the total anticipated charges
1 and 3 months – 75% of the total anticipated charges
Less than 30 days – 100% of the total anticipated charges
Anticipated revenue is the total estimated value of business including VAT, based on numbers given by the client on confirmation. In all instances, notification of cancellation must be made in writing and will be effective on the date received by the hotel.
Entertainment & Serving Times

Prior consent of Kyte Hotel must be sought for any entertainment or service contracted for the event by the client and all such parties must be fully insured and compliant in all required areas.

Our premises licence is 1am (Mon-Sat) 11am (Sun) therefore last orders at the bar for non-residents will be 5 minutes prior. After this time drinks may only be purchased by residents on room accounts.
General Disclaimers

Whilst every effort is made to safeguard clients property Kyte Hotel does not accept any liability for any loss or damage caused. Nor can we be responsible for wedding gifts or decorations that have been delivered to or handed over to a representative.

The hotel accepts no responsibility for death, bodily injury or disease, howsoever arising to clients or their guests excepting only such as arises due to the negligence of the hotel, its servants or agents acting strictly in accordance with the terms of their employment, sub-contract or other agreement between such servants and agents of the hotel. The hotel is not liable for any frustration of this contract caused by strikes, labour disputes, accidents or any other cause beyond the hotel’s control and outside the ordinary and reasonable contemplation of the parties at the time of this contract. In such an event, the hotel shall use reasonable endeavours to offer the client alternative accommodation facilities and services, if such can be found and are acceptable to the client (such acceptance not to be unreasonably withheld). In the event that this is not possible however, the hotel’s obligation to the client extends up to, and is limited to, the full refund of any deposits held.
